The general journal
The entries NaPa creates, how to post one by hand, download the journal and import entries from other software.
The General journal holds all of the company's entries. NaPa creates most of them by itself: when you issue an invoice, record a supplier invoice, a collection or a payment, or reconcile the bank. Each entry says which document it comes from.
Post an entry
Press New entry, enter the date and the lines (account, debit or credit) and press Post. You can do it all from the keyboard: Tab moves to the next field, Enter on the last line adds another and Ctrl+Enter posts. You can also paste lines copied from Excel.
NaPa only accepts it if it balances (debit equals credit), the accounts are in the chart and the date is in an open period. A posted entry isn't edited: it's corrected with another.
Download the journal
Download the journal (on the web) gives you the entries for the dates you choose, as CSV for other software or as Excel.
Import entries
To bring your books from other software, starting with the opening balances, use Import entries with a CSV or Excel file with one row per line, like the one NaPa downloads. Before importing you'll see what it holds and what needs resolving: entries that don't balance, dates in closed periods or possible duplicates. Each code in the file goes to an account of your chart; NaPa suggests the closest and remembers it for next time.
It's imported whole or not at all, and the same file isn't imported twice. Invoices aren't imported this way: NaPa creates their entries when they're issued.
