Record supplier invoices

How to record an expense, the account and the deductible VAT, electronic invoices and the original that is kept.

In Expenses, press New supplier invoice.

  1. Choose the supplier (if it isn't there, add it in Suppliers), the number and the invoice date.
  2. Add the items: the base and the VAT rate of each one. NaPa suggests the expense account from the supplier and its earlier invoices.
  3. Press Record invoice. NaPa creates the journal entry and records the deductible VAT, which goes into Form 303.

A receipt without your company's NIF doesn't let you deduct the VAT.

Electronic invoices

If the supplier sends you an electronic invoice (Facturae, UBL, CII, or a PDF carrying one inside), use Import electronic invoice: NaPa fills in everything from the file and keeps it as the original. Check the warnings before recording.

The original

Attach the invoice's PDF or photo: it's kept unchanged for as long as the law requires. The easiest way is to send it to the inbox.
